Terms of Service & Privacy Policy

Every new account starts with a free 2-month trial โ€” no payment details required. These terms cover your use of DAGRISOL and how your information is handled. Please read the Privacy Policy below โ€” it covers the location and worker data the app records.
Terms of Service

1. About DAGRISOL & who we are

DAGRISOL is a farm-management application (a website and installable app) for managing a farm's fields, animals, equipment, jobs, staff and records ("the Service").

The Service is operated by DAGRISOL (Pty) Ltd, registration number 2024/404633/07, a company registered in the Republic of South Africa ("DAGRISOL", "we", "us", "our"). Registered address: 20 Rule Street, Kroonstad, Free State, 9499. You can reach us at support@dagrisol.co.za.

By creating an account or using the Service, you agree to these Terms and to the Privacy Policy below. If you do not agree, please do not use the Service.

2. Accounts & roles

The farm ownercreates the primary account ("admin") with an email address and password and is responsible for the farm. The owner can add workers and managers, who do not register themselves โ€” they are given a farm access code and set a 6-digit PIN (or use a one-time QR invite link) to sign in.

3. Your duties as a farm owner (important)

When you enter information about your workers and other people โ€” such as names, contact details, home address, salary, emergency contacts and their clock-in locations โ€” you decide why and how that information is used. Under the Protection of Personal Information Act (POPIA) you are the "responsible party" for that information, and DAGRISOL acts as your "operator"(processor), handling it only to provide the Service to you.

You confirm that you have a lawful basis to collect and use your workers' personal information, that you have told your workers that the app records their information and their clock-in location, and that you will honour their privacy rights and applicable South African labour and privacy law. You are responsible for meeting these obligations to your workers; DAGRISOL provides the tool.

4. Worker time-clock & location monitoring

If you enable the Time Clock for a worker, then each time that worker clocks in or out the app records their GPS location, the time, and whether they were inside the work zone you drew on the map. This is location-based employee monitoring.

5. Subscriptions, pricing & cancellation

Every new account starts with a free 2-month trial of the Pro plan โ€” no payment details required. After the trial, the Service is offered on monthly subscription plans (prices in South African Rand, per month):

Billing is monthly in advance through our secure payment provider (card or instant EFT) โ€” we never see or store your card details. Prices do not currently include VAT (DAGRISOL (Pty) Ltd is not presently VAT-registered; these Terms will be updated if that changes). Prices may change with reasonable advance notice.

Cancelling: you may cancel at any time; cancellation takes effect at the end of the month already paid for, and no further charges are made. We do not give pro-rata refunds for a partly used month. Nothing in this section limits any rights you have under the Consumer Protection Act.

Your records are never held hostage: if a subscription lapses or you move to a smaller plan, pages above your plan become view-only โ€” your data stays visible and is kept, not deleted, and you can export or request it at any time.

Parts of the Service are still in active development; features may change or be improved over time.

7. Intellectual property, disclaimers & liability

The DAGRISOL app, brand and software are owned by us; you receive a limited, non-exclusive right to use the Service. The farm and business data you enter remains yours.

The Service is provided "as is". Farming, operational, financial and staffing decisions are yours โ€” we are not responsible for those decisions or for losses arising from your use of, or reliance on, the Service or the data in it (including weather, location, and record data, which may be inaccurate or delayed).

To the maximum extent permitted by law, DAGRISOL is not liable for indirect, incidental or consequential loss. Nothing in these Terms limits liability that cannot be limited under South African law. You agree to indemnify us against claims arising from your misuse of the Service or your breach of your obligations to your workers or third parties.

We may suspend or end access where these Terms are breached. You may stop using the Service at any time. These Terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction. We may update these Terms; we will change the "last updated" date and, for material changes, take reasonable steps to let you know.

8. Who is responsible for your data

For your own account information (your name, email and farm details), DAGRISOL is the responsible party. For the information you enter about your workers and other people, you (the farm owner) are the responsible party and DAGRISOL is your operator, as explained in section 3. Location is special personal information. Worker clock-in coordinates and farm/field coordinates are precise location data, which we handle with extra care and use only for the purposes described here.

10. How & why we use it

We rely on the lawful bases of performance of our agreement with you, our and your legitimate interests, your consent (where asked), and compliance with the law.

11. Who we share data with

We do not sell your personal information. To run the Service we rely on a small number of trusted service providers who process data on our behalf, including cloud hosting and database providers (to store your data and run the app), mapping and location services (to show maps and work out distances), weather and location-lookup services (for the weather feature), and notification delivery services (to send the alerts you enable). We share data with them only as needed to provide the Service.

If you use the optional DAGRICON contractor bridge, we also share the farm and job details needed to match you with contractors with that platform, which has its own terms and privacy policy. We may disclose information where the law requires it, and we do not sell your data.

12. Storage on your device

To work offline and load quickly, the app keeps you signed in and stores a copy of your data on your own device. This is cleared when you sign out or uninstall the app.

13. Cross-border processing

Our application is served from Vercel's cloud infrastructure (primarily located in the United States) and our database is hosted by Supabase in the [region โ€” read off the Supabase dashboard] region. Where your information is stored or processed outside South Africa, we take reasonable steps to ensure it keeps an adequate level of protection, as required by section 72 of POPIA โ€” including choosing reputable providers that apply recognised security and privacy safeguards.

14. How long we keep it

We keep your information while your account is active and for as long as needed to provide the Service. Some historical records (for example clock events and activity logs) keep a worker's name even after the worker is removed, so that past records remain meaningful. You can ask us to delete your data as described below.

15. Your privacy rights

Under POPIA you may ask to access, correct, or delete your personal information, object to certain processing, and complain to the Information Regulator. Because self-service deletion is not yet built into the app, we handle these requests manually โ€” email support@dagrisol.co.za and we will action it.

If you are a worker and want to access or correct your information, please contact your employer (the farm owner), who is the responsible party for that information and can action it through us.

South Africa's supervisory authority is the Information Regulator (South Africa), which you may contact if you believe your rights have been infringed.

16. Security & children

We use reasonable technical and organisational measures to protect your information, but no online service can be completely secure. The Service is intended for adults running a farm business and is not directed at children under 18.

17. Changes to this policy

We may update this Privacy Policy from time to time. We will change the "last updated" date above and, for material changes, take reasonable steps to notify you.
